BatchBook is operated by Astro Ventures LLC d/b/a BatchBook ("BatchBook," "we," "us," or "our"), a California limited liability company. This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use the BatchBook service.
What We Collect
When you use BatchBook, we collect:
- Account information: Your email address, name, and password when you create an account
- Respondent information: Names and emails of people who submit availability through your scheduling links
- Scheduling data: Availability data (dates and times selected), event details, and timezone information
- Payment information: Billing details when you subscribe (processed securely by Stripe; we do not store full card numbers)
- Usage data: Pages visited, features used, and anonymous interaction data collected via Vercel Analytics
- Device and log data: IP address, browser type, operating system, and access timestamps
How We Use It
We use your data to:
- Provide and operate the BatchBook scheduling service
- Send transactional emails (confirmations, scheduling invites, account notifications)
- Process payments for subscriptions
- Improve our product and user experience
- Provide customer support
- Detect and prevent fraud or abuse
- Comply with legal obligations
We do not sell your personal information to third parties.
Emails
We send transactional emails only -- availability confirmations, scheduling invites, and important account notifications. No marketing spam. You can always unsubscribe from optional communications. Transactional emails necessary for the operation of your account cannot be opted out of while your account is active.
Data Storage & Security
Your data is stored securely on servers in the United States. We use industry-standard encryption (TLS 1.2+) for data in transit and AES-256 encryption for data at rest. Our infrastructure is hosted on trusted cloud providers with SOC 2 compliance. For more details about our security practices, see our Security page.
Third-Party Services
We use the following trusted third-party services to operate BatchBook:
- Supabase -- Database and authentication (SOC 2 Type II compliant)
- Stripe -- Payment processing (PCI DSS Level 1 compliant)
- Resend -- Transactional email delivery
- Vercel -- Hosting, deployment, and privacy-respecting analytics
Each third-party service processes data in accordance with their own privacy policies and is contractually obligated to protect your information.
Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the service. If you delete your account, we will delete or anonymize your personal data within thirty (30) days, except where we are required to retain it for legal, accounting, or regulatory purposes.
Your Rights
You have the right to:
- Access your personal data
- Request correction of inaccurate data
- Request deletion of your account and data
- Export your data in a portable format
- Withdraw consent for data processing
- Object to processing of your personal data

California Privacy Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect, the right to delete your data, the right to correct inaccurate data, and the right to opt out of the sale or sharing of your personal information.

Cookies
We use essential cookies to maintain your session, authentication state, and preferences. We use Vercel Analytics for anonymous, privacy-respecting usage analytics that does not use cookies or track individuals across sites. No third-party advertising or tracking cookies are used.
Children's Privacy
BatchBook is not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected data from a child under 16, we will take steps to delete such information promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes at least thirty (30) days in advance via email or by posting a notice on our website. The "Last updated" date at the top of this page indicates when this policy was last revised.
